Position Description:

The Organizational Support Associate performs advanced administrative/clerical tasks for site personnel and partners with diverse business areas to provide the following services:

  • Produces/completes various work assignments requiring advanced analytical ability, independent judgment, creativity and problem solving skills.

  • Schedules and coordinates interviews for positions across the site

  • Orders supplies for areas across the site

  • Develops reports, presentations, tables, graphs, and correspondence

  • Schedules complex, multi-leg, and international travel

  • Supports the use of SharePoint Sites

  • Assists with calendar scheduling/planning

  • Coordinates external and internal catering needs for teams across the site

  • Coordinates special projects, meetings, and events

The Organizational Support Associate must communicate at a level to effectively interact with our Company's executives and internal/external clients both on-site and remotely.  Work requires the coordination and performance of multiple tasks while understanding the project principles and technical skills related to the work assignments. The Organizational Support Associate  must be able to prioritize and perform activities with little supervision.

Education Minimum Requirement:

  • Required: High School Diploma

  • Preferred: Associates Degree or higher, advanced education or certifications (e.g. Certified Administrative Professional, Project Management Professional Certification, Professional in Human Resources Certification)

Required Experience and Skills:

  • Minimum of 3 years Administrative Assistant experience

  • Minimum of 1 year Executive Administrative experience supporting senior executives (Sr. Director, Executive Director, VP or above)

  • Extraordinary attention to detail.

  • Advanced computer skills using MS Office Suite (Outlook, Word, Excel, Power Point etc.) and operation of other peripheral devices

  • Advanced secretarial/clerical abilities with a history of high performance

  • Ability to handle and prioritize a large number of simultaneous assignments

  • Self-directed

  • Experience with event planning and coordination

  • Professional oral and written communication skills

Preferred Experience and Skills:

  • SAP experience processing: Purchase Orders and Payment Requests

  • Experience scheduling complex travel arrangements including multi-leg domestic and international travel

  • Experience with financial and budget tasks

  • Minimum of 5 years Administrative Assistant experience

  • Minimum of 3 years Executive Administrative experience supporting senior executives (Sr. Director, Executive Director, VP or above)
