Administrative Secretary - Medical Affairs - General Hospital

Job Summary

Provides administrative support to the Department of Medical Affairs through the performance of diversified administrative and secretarial function to include support and responsibilities for Credentialing as defined by the Credentials Manager. Provides administrative support to the Department of Medical Affairs through the performance of diversified administrative and secretarial function to include support and responsibilities for Credentialing as defined by the Credentials Manager. Incumbent must be detail oriented, demonstrate organizational skills, and work independently or as a team member.Incumbent must also demonstrate ability to act in a tactful and professional manner in stressful situations, and present a strong customer service orientation.

Responsibilities

1. Open, review, and distribute office and external mail , bringing priority items to attention of the recipient.

2. Assist in mass mailings

3. Assist in coordinating meetings when appropriate

4. Management of meeting minutes and reporting

5. Screen calls and forward to appropriate staff based upon reason for call

6. Enter Purchase Orders and check requests as forwarded by Corporate Director

7. Assist in travel arrangements when needed for staff

8. Assist in filing documents as assigned

9. Maintain office supplies

10. Assist in maintaining scanning projects

11. Type, format and proof correspondence, reports, etc)

12. Apply credentialing standards and SOP to assist in processing reappointment applications to include assuring all providers are included in each reappointment batch as applicable.

13. Manage expirables within software to ensure no laps in dates to include licenses, insurance, DEA, etc.This includes accurately and timely updates within the software to ensure up to date reporting to Credentials Manager of outliers.

14. Assist in Credentials Committee agenda items that are within responsible reappointments.

15. Prepare reappointment letters for applicable reappointments for President signature.

16. Maintain confidentiality of credentials files, information, and peer review.

17. Other duties as assigned.

Knowledge, Skills & Abilities

Education
• Associate's Degree (Required) Level of Experience 2 years related experience working with physicians Acceptable SUBSTITUTIONS (if any) May substitute 3 years of experience for Associate Degree
• High School Diploma or GED (Required) Education: College level courses preferredExperience: 1 year secretarial experience and 1 year credentialing experience. Prefer experience in Microsoft Office and MDSTAFF (or other credentialing software) Education: College level courses preferredExperience: 1 year secretarial experience and 1 year credentialing experience.
