Clinical Trials Payment Coordinator

This is a pivotal opportunity to join a dynamic clinical finance team managing end-to-end payment lifecycles for global clinical trials. As a Clinical Trials Payment Coordinator, you will play a vital role in ensuring financial accuracy and compliance by bridging the gap between clinical site activities and vendor payments. Working in a 100% remote capacity, you will support a high-volume environment where you handle everything from initial template configuration to the final approval of site invoices. This role is ideal for a detail-oriented professional who enjoys navigating complex software systems and collaborating cross-functionally to ensure that research sites across the U.S. and internationally are compensated accurately and on time.

Responsibilities

  • Configure payee profiles and payment templates based on specific site budgets and clinical trial agreements.
  • Manage the end-to-end invoice lifecycle, including processing, tracking, and submitting site invoices for approval.
  • Utilize specialized eClinical software and internal systems to load data and set up new vendor or site information.
  • Perform rigorous data entry and reconciliation to ensure consistency across multiple payment platforms.
  • Verify and validate payment documentation against clinical activity to maintain high levels of financial accuracy.
  • Support international payment activities, navigating the specific regulatory and documentation requirements for "Rest of World" sites.
  • Collaborate with internal and external stakeholders via Microsoft Teams and Outlook to resolve payment discrepancies.
  • Maintain organized digital records of all financial transactions and site communications to ensure audit readiness.

Education

  • Required: High School Diploma or equivalent.
  • Preferred: Bachelor's degree (BA/BS) in Finance, Business, Healthcare Administration, or a related field.

Experience

  • 1-3 years of direct experience in clinical trial site payments or clinical finance.
  • Proven proficiency in Microsoft Excel for data manipulation, analysis, and reconciliation.
  • Hands-on experience with payment systems; experience with Suvoda or Greenphire's eClinical GPS is highly preferred.
  • Demonstrated ability to manage high-volume tasks in a fast-paced environment with strict deadlines.

Additional Information

  • Logistics: 100% Remote; however, candidates on the East Coast are highly preferred for timezone alignment.
  • Proximity: Preference given to candidates near Upper Gwynedd, PA, or Rahway, NJ, for occasional onsite visits.
  • Duration: 6-month initial contract with a strong opportunity for a 6-month extension.
