JOB SUMMARY/ESSENTIAL JOB FUNCTIONS:
The Financial Coordinator provides financial and business operations support to the Office of Research and the Office of Clinical Research Business Manager and Directors. This position assists with fiscal administration for the Offices of Research and Clinical Research, including but not limited to budget reporting and oversight of all accounts.
Responsibilities
- Monitors, reconciles, and assists with fiscal and business operations; assists with business management for all departments within the Office of Clinical Research and the Office of Research.
- Resolves day-to-day business-related problems pertaining to departmental accounts, personnel processing, contracts, travel, payables, and purchasing.
- Develops budget analysis reports, prepares monthly reports, and performs account maintenance.
- Provides reports and assists the Business Manager with budget forecasts for monthly and end-of-year closeouts.
- Prepares and maintains operational, financial, and personnel forms/reports.
- Monitors the travel processing for Office of Clinical Research staff, and applicants, including coordinating travel plans and processing initial authorizations and expense reports.
- Maintains all payroll records by inputting and checking all leaves; modifies personnel and position changes in DASH/Oracle. Prepares hiring information, personnel change forms, rehire/new hire, and termination forms.
- Coordinates with the Business Manager the management of Clinical Research agreements, studies, and projects, including the execution of contracts and CTAs, processing of payables and receivable invoices, and the collection of payment for services.
- Establishes, updates, and maintains unit files, inventories, order supplies, submits work orders and maintains records.
- Assists with the coordination of UT Health Science Center campus-wide research meetings, events, and grant consultant workshops.
- Performs other duties as assigned.
Qualifications
EDUCATION:
Bachelor's Degree. (TRANSCRIPT REQUIRED)
EXPERIENCE:
One (1) year of related accounting, business administration, and/or finance and administrative support experience; OR Associate's Degree and three (3) years of administrative support experience; OR a combination of education and work experience to equal five (5) years.
KNOWLEDGE, SKILLS, AND ABILITIES:
- Knowledge of general accounting principles.
- Ability to gather data, compile information, and prepare reports.
- Advanced skill using computer software, hardware, and database systems: Microsoft Office suite - Word, Excel, Access, PowerPoint and Outlook email and calendaring, etc.
- Ability to communicate effectively, both orally and in writing.
- Ability to quickly learn and apply UT Health Science Center policies and procedures to functional areas and willingness to understand and enforce these policies when required.
- Strong writing and editing skills to compose, proofread, and review copy for correct grammar and format, completeness, etc. for self or others, for a wide range of documents, needs, or for signatures.
- Ability to use discretion and an understanding of sensitive issues to make decisions and resolve problems, and to apply sensitivity/appropriate judgment to identify when higher level consultation and/or group collaboration would be appropriate to resolve problems that have a significant impact on the goals of the Health Science Center.
WORK SCHEDULE:
This position may occasionally be required to work weekends.
