The Senior Concierge Meeting & Events Associate will be highly organized and self-motivated associate to plan and execute corporate meetings and events efficiently. This role requires expertise in venue sourcing, stakeholder coordination, contract negotiation, compliance verification, and overall event logistics management.
Key Responsibilities:
Event Planning & Execution
- Plan and execute diverse events, from corporate meetings to large-scale gatherings.
- Source venues aligned with event needs and client preferences.
- Provide curated venue options and side-by-side comparisons.
- Design travel itineraries with dining and activity recommendations.
Vendor & Stakeholder Coordination
- Negotiate contracts to optimize savings and reduce risk.
- Maintain vendor and venue databases.
- Coordinate with suppliers and internal teams for seamless execution.
- Support purchasing processes and manage vendor relationships.
Logistics & Compliance
- Use platforms like Cvent for venue sourcing and tracking.
- Handle travel logistics tied to events.
- Ensure compliance with pharma regulations and company policies.
- Track sourcing metrics and stay current on industry trends.
Problem-Solving & Innovation
- Proactively resolve sourcing and planning challenges.
- Continuously improve processes and tailor solutions to client needs.
Qualifications & Skills:
Required:
- At least 5 years of experience in event organization (medical/pharmaceutical events preferred).
- Self-motivated individual with strong project management skills.
- Advanced English proficiency (Portuguese preferred).
- Experience using Cvent for event and venue sourcing.
- Hybrid role
Preferred:
- Experience in travel booking (cross-training provided).
- Understanding of pharmaceutical compliance in event planning.
