Job Summary
We are seeking an experienced and highly organized Project Manager 2 to lead complex, multi-site national clinical trial, healthcare, and clinical initiatives within a fast-paced hospital environment. This role is ideal for a strategic project management professional with proven experience managing large-scale grant-funded programs, coordinating across multiple clinical sites, and driving projects from planning through execution.
The Project Manager 2 organizes and leads teams for moderate to large-scale projects, ensuring the timely and successful completion of project goals, deliverables, budgets, and timelines. This position serves as a key leader in managing clinical research and healthcare initiatives across multiple locations, collaborating with physicians, researchers, operational leaders, and external partners to support organizational objectives.
The ideal candidate will have experience supporting clinical trials, hospital-based programs, healthcare operations, and grant-funded initiatives, with demonstrated success managing projects across 13+ clinical sites. This individual must be comfortable balancing competing priorities, leading cross-functional teams, and traveling as needed to support project implementation and operational success across locations.
Experience within academic medical centers, investigator-initiated research programs, and federally or privately funded grant initiatives is highly preferred.
Essential Functions of the Role
- Develops comprehensive project plans to ensure project feasibility, appropriate resource allocation, and effective change management strategies.
- Leads complex clinical research, healthcare, and operational initiatives from project initiation through implementation and closeout.
- Oversees grant-funded projects and clinical trial initiatives, ensuring compliance with sponsor requirements, regulatory standards, and organizational policies.
- Coordinates activities across multiple clinical, research, and operational sites, ensuring consistency, collaboration, and successful project execution.
- Establishes project deliverables, timelines, milestones, and performance metrics while maintaining accountability across project teams.
- Creates and maintains project charters, governance structures, team roles, responsibilities, and accountability frameworks.
- Prepares and presents project scope documents, securing stakeholder alignment and approval on objectives and deliverables.
- Obtains approvals at designated project phases and ensures adherence to organizational governance processes.
- Conducts feasibility studies, business planning, risk assessments, and benefit analyses to support strategic decision-making.
- Identifies staffing, equipment, technology, and financial resources necessary to achieve project objectives within budget and timeline expectations.
- Collaborates with internal departments, external partners, research teams, and clinical leaders to obtain necessary resources and remove barriers.
- Manages moderate to large-scale projects with significant complexity, multiple stakeholders, and competing priorities.
- Prepares and maintains project documentation, including project plans, schedules, budgets, grant reporting requirements, and status updates.
- Monitors project budgets, resource utilization, and financial performance to ensure fiscal responsibility and grant compliance.
- Communicates project assignments, expectations, and deadlines clearly and professionally.
- Proactively identifies risks and develops mitigation strategies to ensure project milestones and deliverables remain on track.
- Monitors project status, resolves issues, escalates concerns when necessary, and provides recommendations to leadership.
- Facilitates project team meetings, stakeholder meetings, and project reviews to communicate progress and drive accountability.
- Serves as a primary liaison between executive leadership, clinical teams, researchers, sponsors, vendors, and project stakeholders.
- Supervises day-to-day project team activities and provides guidance, coaching, and support to team members.
- Manages vendor and consultant relationships, ensuring contractual obligations and performance expectations are met.
- Maintains a strong understanding of healthcare operations, clinical research processes, and organizational priorities to support project success.
- Supports travel to project sites as needed to ensure operational alignment, stakeholder engagement, and successful implementation activities.
Key Success Factors
- Demonstrated experience managing healthcare, hospital, clinical research, or grant-funded projects.
- Experience overseeing multi-site programs, clinical operations, or research initiatives across geographically dispersed locations.
- Project Management Professional (PMP) certification or equivalent preferred.
- Experience managing large grants, sponsor-funded initiatives, and project financials.
- Understanding of clinical trial operations, research compliance, regulatory requirements, and healthcare environments preferred.
- Excellent leadership, communication, facilitation, and stakeholder management skills.
- Strong analytical and problem-solving capabilities with the ability to assess risks and develop practical solutions.
- Ability to manage multiple projects simultaneously while maintaining attention to detail and quality.
- Demonstrated success building relationships and collaborating across diverse clinical, operational, and executive teams.
- Exceptional written and verbal communication skills with stakeholders at all organizational levels.
- Advanced organizational, planning, and time management skills.
- Strong proficiency with Microsoft Office Suite and collaboration tools.
Preferred Experience
- Clinical research and clinical trial management experience.
- Healthcare, hospital, or academic medical center project management experience.
- Experience supporting investigator-initiated research studies.
- Experience managing federally funded, foundation-funded, or industry-sponsored grants.
- Experience coordinating projects across 13+ sites or large healthcare networks.
- Experience working with physicians, principal investigators, research administration, and healthcare leadership teams.
- Willingness and ability to travel periodically to support project sites and stakeholder engagement activities.
